Once you have added a department, you can edit the following settings by clicking the Departments tab, selecting the department from the list, and then clicking the General link.


Department—A unique number automatically generated by the system.


Code—This is a 20-character field. The code can be used as a reference to the department and will appear on timecards.


Department Name—The name that you assign to the department.


Rounding and Grace—This feature allows you to specify the amount of rounding and grace that you will allow when employees clock in or out.
Roundings at the beginning or end of a clocking period will amend
 clockings and "round" them to the nearest specified unit of rounding.
Roundings on IN clockings move forward to the next rounding increment. Roundings on OUT clockings, will be applied to the previous rounding increment.
Grace is a period of time allowing late clockings on IN times and early clockings on OUT times - without incurring a deduction on the timecard.

The following options are available:

 

  • Pre ShiftYou set the minutes that you want the system to be rounding in for the pre schedule here. For example if an employee clocks in at 9:03 and the grace was set for 4 minutes then they would be clocked in for 9:00. If you set the rounding to 30 minutes and the employee clocked in at 9:05 then the clocking would be rounded to 9:30.

  • Shift StartFor the shift start function to work you first need to set a schedule. You set the minutes that you want the system to be rounding in for the start time here. You also set the grace for the start time here. Say your employee clocked in at 9:02 and you had a grace of 3 minutes then the rounding would be from 9:00.

  • During Shift (Clock IN)Here you set the rounding and grace period for the during shift clockings.

  • During Shift (Clock OUT)Here you set the rounding and grace period for the during shift out clockings. 

  • Post ShiftFor the post shift function to work you first need to set a schedule.  You set the minutes that you want the system to be rounding in for the post shift here. If you set the rounding to 30 minutes and the grace to 3 minutes. If the end of the shift is 5:00 And the employee clocked out at 4:58 then the grace would round his clocking to 5:00. But if he clocked out at 4:55 then he would be clocked out at 4:30, a 30 minute rounding.


To turn on Clock Rounding, click the Departments tab, click on your chosen department then click the Edit link next to Rounding and Grace. Make your selection from the drop-down menu, then click Save


Other Deduction/Duration—This feature allows you to automatically deduct time e.g. lunch breaks. To enter a lunch deduction, click the Departments tab, then click the Edit link next to Other Deduction/Duration. The first drop-down menu allows you to select the number of hours that an employee must work before the deduction will be taken; the second drop-down menu allows you to select the length of time the deduction will be. Enter a description for the deduction e.g. Lunch. When you are finished, click Save.


 


Deduction Window—This feature allows you to set a Deduction Window.  For example you may only want your employees to take a Lunch break between the hours of 12:00 and 2:00pm, you can set a Deduction window from 12:00 to 14:00 and the clock will only allow the employee to clock in and out for lunch during these times.


Paid Break/Duration—This feature allows you to offer a paid break for employees. To add a paid break, click the Departments tab, then click the Edit link next to Paid Break/Duration. The first drop-down menu allows you to select the number of hours that an employee must work before the break time will be added; the second drop-down menu allows you to choose the length of time to add for the break. When you are finished, click Save.

NOTE: If you enable the paid break feature, employees need to clock in and out for breaks. If you want the employees to take breaks while clocked in, do not enable this feature.


Status—This setting allows you to select whether the department is Active or Archived. If you set a department to Archived, the department and all of the employees within the department will be removed from the active lists of departments and users. All information will remain in the uAttend system, but no action will be allowed by the employees or payroll.

If your employees clock in using one of the Platinum Series C time clocks (BN6500, BN6000, CB6500, CB6000) or clock in through the uAttend website, administrators can allow them to start and end lunch and breaks through the employee login screen. The clockings will be recorded on the employees' timecards. These settings are enabled at the department level.

To use the lunch clock features for a department, follow these steps:

 

1. Click the Departments tab on the main menu.

2. Select the department from the list.
Even if the employees are clocked out during lunch, you can choose to pay them for their lunch breaks by specifying the maximum amount of time that you wish to pay.


3. If you wish to pay employees for a lunch break during which they are clocked out, click the Edit link in the Add Up To field in the Lunch Clock section, and enter the maximum amount of time that will be added on to the employees' timecards for their lunch break. Click Save when finished.

4. If you wish to deduct lunch clocks from timecards, click the Edit link in the Deduct Lunch Clocks From The Timecard field and select Yes. Click Save when finished.

 

You can choose to prevent employees from clocking in until the end of a lunch break by enabling the lunch lockout feature.

 

 

5. If you wish to enable the lunch lockout feature, click the Edit link in the Lunch Lockout field and select Enabled. Click Save when finished.
